Chapter 01

Getting started: the account and the first ten minutes

Opening the account, choosing a plan, and the starter checklist that takes you from opening hours to the first booking.

table2book runs in the browser: a tablet at the pass, a laptop in the office, a phone in your pocket. There is nothing to install. The account opens from “Start for free” and the restaurant is created for you, with defaults you change right after. The console runs in Greek or English, chosen separately on each device with the “Language” buttons at the bottom of the side menu (chapter “The console at a glance”). This guide quotes the English labels as they appear on screen; the Greek guide has the Greek ones.

Opening the account

  1. Step 1

“Start for free” or “Sign in”

Enter an e-mail and password, or sign in with your Google account. The same “Sign in” button works every time after that.

  2. Step 2

    Name your restaurant

Asked right after sign-up. It becomes the title of the console and the name on your public booking page, and the page address is derived from it, e.g. /book/psarotaverna-o-glaros.

  3. Step 3

    Pick a plan

The first screen after signing in is the “Plan & billing” section in Settings. Press “Continue on Free” to start without a card, or one of the paid plans for a 7-day trial. You can change plan any time.

  4. Step 4

    You land on “Overview”

The “Setup completion” card is waiting there, with six steps and a percentage.

The “Setup completion” checklist

The card on the overview page and the progress ring in the sidebar show a percentage. Every line is a link to where the work is done:

  1. Step 1

    “Add opening hours”

Settings → “Hours & holidays”. Opening and closing time for each day, “Closed” on days off. Ticks as soon as one day is open.

  2. Step 2

    “Set up tables”

Settings → “Areas & tables”. Areas (dining room, terrace, bar) and tables with minimum and maximum seats. One table is enough for the tick.

  3. Step 3

    “Confirm booking settings”

Settings → “Booking rules”. Duration, buffer, maximum party size. Saving the rules completes the step; if the defaults already fit, press “They are correct” in the notice at the top.

  4. Step 4

    “Create a booking”

From “Booking” in the top bar, wherever you are.

  5. Step 5

    “Explore settings & add-ons”

Ticks by itself the first time you open Settings.

  6. Step 6

    “Choose a plan”

Ticks with “Continue on Free” or with an active subscription.

Once everything is ticked, the card collapses to one line, “Setup completion 100%”. The last step before the first service: copy the link from the “Links & widgets” card and put it on your website, your Google profile and your Instagram.

The console after setup: the evening's schedule, with your tables under the hours.

Chapter 02

The console at a glance

The side menu, the top bar with the date, and the two buttons you will press most: “Booking” and “Walk-in”.

The console has three parts: the menu on the left, the top bar, and the page content. On a phone the menu hides and opens from the three-line icon; on a tablet or laptop you can collapse it to a narrow column of icons.

The pages in the menu

PageWhat you do there
“Overview”The day's numbers, the starter checklist, the booking link and shortcuts.
“Calendar”The month with bookings and covers per day. Click a day to open the schedule.
“Schedule”The evening on a timeline, one table per row, with the waitlist underneath.
“List”The day's bookings in a table, with status filters, search and editing.
“Floor plan”The tables as they stand in the room, coloured by who is seated and who is on the way.
“Kitchen”The kitchen screen: one ticket queue per station, most urgent first, with totals per item (paid plans).
“Pass”The floor screen: plates ready to serve, table calls, open bills (paid plans).
“PDA”Order taking from the waiter's phone: tables, rounds, new order with preset options (paid plans).
“Menu”Categories and items the guest sees on the QR code, with prices, VAT and allergens.
“Guests”The guest book, with visit history and notes.
“Reports”Bookings, guests, hours, tables, payments and tips, kitchen times per period.
“Settings & add-ons”Hours, tables, booking page, plan, QR, payments, team.

The top bar

  • “Booking”: opens the new-booking form from any page.
  • “Walk-in”: seats a party without a booking straight away, no contact details needed.
  • Date: on the schedule, the list and the floor plan the arrows change the day and clicking the date returns to today. On the calendar they change the month.
  • Search (magnifying glass): finds guests and bookings by name, phone or e-mail, from two characters on.

Bottom left you see your name, your role (“Owner”, “Manager” or “Staff”) and the “Sign out” icon. What each role may do: chapter “Team and roles”.

Greek or English

Just above your name, “Language” has two buttons, “ΕΛ” and “EN”. They switch the console between Greek and English on that device only, and the device keeps the choice whoever signs in on it: the kitchen tablet can run in English for a cook who does not read Greek while the office laptop stays in Greek. A new device starts in Greek. With the menu collapsed to icons, a single button shows the current language and switches to the other. The PDA's notifications for ready plates arrive in each phone's own language. What guests see stays as it is: the booking page, the e-mails to guests, the printed QR sheet and the phone assistant are in Greek, and the menu behind the table QR code has its own “EL / EN” switch for the guest.

Chapter 03

Bookings: entering them, statuses and rules

The “New booking” form, what every status means, how the waitlist works, and how the console decides which table is free.

A new booking from the console

  1. Step 1

Press “Booking” in the top bar

The form opens on today's date, 20:00 and 2 guests.

  2. Step 2

Set the date, time and party size

Time moves in 15-minute steps. “Duration” fills itself in from the rules in Settings (e.g. up to 3 guests → 2 hours); if you change it by hand, it stays as you set it.

  3. Step 3

    Type the name

From two letters on, matching guests appear, by name, phone or e-mail. Clicking one fills in their details and links the booking to their record.

  4. Step 4

    Phone, e-mail, “Source”

The phone is optional here (on the public page it is required). The source says where the booking came from: phone, walk-in, website, e-mail, message, other.

  5. Step 5

    Pick a table

The “Table — free for this slot” section shows only tables that fit the party and are free at that time. You can pick more than one, or none and assign it later.

  6. Step 6

    Notes

“Booking notes” for allergies and occasions; “Internal note (staff only)” for what only the staff should see.

  7. Step 7

    “Create booking”

The form closes and the booking appears on the schedule, the list and the floor plan.

Walk-in

“Walk-in” in the top bar is the same form without contact details: date, time, duration, party size, table, and the “Seat now” button. The party is saved immediately as “Seated” with source walk-in; if you type no name, it is called “Walk-in”. The same works from the floor plan with “Walk-in here” on a free table.

The statuses of a booking

  • ConfirmedA booking you are expecting. It holds its table. Online bookings always arrive like this.
  • SeatedThe party is at the table. It keeps holding it.
  • FinishedThey have left. The table frees up immediately for the next party.
  • No-showThe table frees up and the booking counts towards the no-show rate in reports.
  • CancelledHolds no table and does not count in the totals.
  • WaitlistA request with no table guaranteed. Holds nothing and shows in a separate panel on the schedule.

Changes are made with buttons that appear only when they are allowed: “Seat”, “Finish”, “No-show”, “Cancel”, “Confirm”. The schedule also has the undo buttons “Undo seating” and “Undo finish”, for the wrong tap in the rush.

Waitlist

  1. Step 1

Enter the party with “Booking” and status “Waitlist”

With time, party size and phone. It holds no table.

  2. Step 2

See the list under the schedule

It only appears on days that have someone in it, with the count in the title.

  3. Step 3

When a table frees up, press “Confirm”

The booking becomes confirmed and enters the timeline. If it has no table, assign one from “Edit” on the list.

How the console decides a table is free

  • A table is offered only if it is active and the party is within its seats: no fewer than “Min seats” and no more than “Max seats”. A four-top with a minimum of 2 will not be offered to one guest.
  • Only confirmed and seated bookings hold a table. As soon as you mark “Finish”, the table goes back out.
  • The “Table reset time” from the booking rules (0, 15 or 30 minutes) sits between two bookings on the same table, without changing the end time you see.
  • The console re-checks at the moment you save. If someone else got there first, you see a message that the table was just taken, and you pick another.
  • A booking can take two or three tables (a large party) or none (to be assigned later).

When a booking is saved with a phone or e-mail, the guest book updates itself: if a guest with the same phone exists, the booking goes into their history; otherwise a new record opens.

Chapter 04

Overview

The first page after signing in: today's and this week's numbers, the starter checklist and the booking page link.

  • “Today”: bookings and covers for the day, with a “Closed” badge if you are closed. Click goes to the list.
  • “Next 7 days”: the same for the coming week. Click goes to the calendar.
  • “Setup completion”: the six setup steps (chapter “Getting started”). At 100% it collapses to one line.
  • “Links & widgets”: the public booking link with “Copy” and “Open”, and a link to the website widget.
  • “Extend with more features”: cards that lead to Integrations.
  • “Shortcuts”: today's bookings, the month, a preview of the booking page, plan choice, settings.

After buying or changing a plan, the confirmation message appears here too, with the end date of the trial or the next renewal.

Chapter 05

Calendar

The month as a grid: how many bookings and covers each day has, and which days you are closed.

Each cell shows “{N} bookings” and “{M} covers”, or the “Closed” badge with the note of the special day (e.g. 15 August). Today has a circle around its number. The month changes from the arrows in the top bar.

Clicking any day opens the schedule for that day. Bookings are not created from the calendar; use “Booking” in the top bar after moving to the day you want.

Chapter 06

Schedule: the evening on a timeline

One table per row, bookings as bars over the hours, the “now” line, and the waitlist underneath.

The schedule shows one day. Hours run horizontally, from half an hour before opening until closing, and the active tables stand vertically, grouped by area in the order set in Settings. Every booking is a bar with name, party size and times. The colour tells the status, as in the legend: “Confirmed”, “Seated”, “Finished”, “Waitlist”.

  • The header counts “{N} bookings · {M} covers” for the day and shows “Closed” with the note, if it applies.
  • “Live” (today only) keeps the green current-time line updated every 30 seconds.
  • The “No table” row at the top gathers the bookings waiting to be assigned.
  • Cancelled and no-show bookings are not drawn on the timeline; find them on the list with the “All” filter.
  • Two overlapping bookings on the same table show in two lanes, so neither is lost.

Clicking a booking

A window opens with status, source, times, party size, phone (tap to call), tables and note. Below it, the buttons allowed at that moment: “Seat”, “Finish”, “No-show”, “Cancel”, “Confirm”, and the undo buttons “Undo seating” and “Undo finish”.

Waitlist

Under the timeline, only when someone is on it: name, party size, time, phone, note and the “Confirm” button. As soon as a table that fits them empties, press it and the party moves up onto the timeline.

Chapter 07

List: filters, search and editing

The day's bookings in a table. The place to find a booking quickly and change it.

  • Status filter: “Active (default)”, which shows confirmed, seated, finished and waitlist; “All”; or a single status.
  • Search by name or phone. The phone matches even with spaces or dashes between the digits.
  • Columns: time, name (with the phone underneath), party size, tables, source, status, a note icon (hover for the text), actions.
  • Cancelled and no-show rows appear faded.

Actions on each row

The icons change with the status: “Confirm” for the waitlist, “Seat”, “No-show” and “Cancel” for a confirmed booking, “Finish” for seated, and always “Edit”.

“Edit booking”

  1. Step 1

Change date, time, duration or party size

Duration is picked from a list (1 to 4 hours). Party size up to the maximum in Settings.

  2. Step 2

    Correct name and phone

E-mail, source and status are not changed here; the status changes with the row icons.

  3. Step 3

    Change table

You see the tables free for the new time and the ones already chosen. A table that no longer fits turns orange, with a message to tap it to remove it.

  4. Step 4

    “Save changes”

If the table was taken in the meantime, you see a message that it is occupied at that hour, and you pick another.

Chapter 08

Floor plan: which table empties, and when

The tables as they stand in the room, at a moment of the evening you choose from the time ruler.

The floor plan shows the state of every table at one specific time. The ruler above the canvas has 15-minute steps: click a time and the tables recolour. With “Live” (today only) the marker follows the clock and the data refreshes every 30 seconds.

What each colour means

  • OccupiedSolid green: a confirmed or seated booking covering this time. Shows name, party size and times.
  • Leaving soonLighter green with a clock icon: the booking ends within 15 minutes.
  • UpcomingGreen outline: a booking starting within the viewing window (1, 2 or 3 hours ahead). Reads “in 40 min · Οικονόμου”.
  • FreeGrey, with the table's maximum seats.
  • HighlightedOrange outline when you pick a booking from the panel on the right.

Clicking a table

  • Occupied or upcoming: you see the booking and the buttons “Seat”, “No-show”, “Cancel” or “Finish”.
  • Free: a quick entry for this table, with name and party size (up to the table's seats). “Walk-in here” seats the party at once; “Book here” creates a confirmed booking from the ruler's time, with the default duration.

Areas, zoom, printing

The tabs above the canvas switch area (dining room, terrace), in the order you set in Settings. Zoom has three levels (80, 100, 120%). From the three-dot menu, “Print floor plan” prints only the canvas of the area you are looking at, in colour.

“Edit layout”

  1. Step 1

    Three-dot menu → “Edit layout”

An orange strip appears to confirm it.

  2. Step 2

    Drag each table into place

Positions snap to an invisible grid, so tables stay aligned.

  3. Step 3

Resize from the handle at the bottom right

An eight-top can look bigger than a two-top.

  4. Step 4

    “Save layout”

Or “Cancel” to put everything back. Saving needs the manager or owner role.

The panel on the right lists the day's bookings with the filters “Active”, “All” and “Upcoming after {time}”. Clicking one highlights its tables on the canvas and switches area if needed. It does not change statuses; that is what clicking the table is for.

Chapter 09

Guests: the guest book

Records that fill themselves in from bookings, with visit history and notes for the staff.

Every booking with a phone or e-mail opens or updates a guest record. You do not need to enter people by hand, but you can, with “Add guest”.

  • Search by name, phone or e-mail, and the filter “All” / “With visits” / “No visits”.
  • Columns: name, phone, e-mail, visits, last activity. A visit is any booking that reached confirmed, seated or finished.
  • Pages of 20, 50 or 100 guests.

The guest record

On the left, the fields: name, phone, e-mail, company, address and “Notes” (preferences, allergies, anniversaries, the table they always ask for). On the right, “Booking history” with the 15 most recent and the total visits. Whatever you write in the notes, the waiter sees on the same record before reaching the table.

The search in the top bar leads here when you pick a guest, and to the list of the right day when you pick a booking.

Chapter 10

The restaurant's booking page

The public link that books tables on its own: what the guest sees, which times it offers, and where the booking lands.

Every restaurant has a public page at /book/ followed by its name in Latin letters, e.g. table2book.app/book/psarotaverna-o-glaros. The guest needs no app and no account, and the page is in Greek, whatever language your console is in. You find the link on the overview page (“Links & widgets” card) and under Settings → “Link & widget”.

Where to put it

  1. Step 1

    “Copy” and paste

On the booking button of your website, your Google Business profile, your Instagram bio, your Facebook page.

  2. Step 2

    Embed on your website (iframe)

The same Settings section has a ready code snippet. Give it to whoever builds your site; the form appears inside your page and follows your hours.

  3. Step 3

    Open and close

The “Accept online bookings” switch stops online bookings, e.g. for a private event. The guest then sees a message to call.

What the guest sees

  1. Step 1

    Date

The next 30 days in a strip. Closed days are faded and marked «Κλειστά» (closed).

  2. Step 2

    Party size

From 1 up to “Maximum party size” in Settings. For larger parties the page tells them to call.

  3. Step 3

    Time

Only the times that actually fit the party at some table. If there is none, the page says there is no availability for that party size and suggests another day.

  4. Step 4

    Details

Name and phone required, e-mail and comments optional (pushchair, allergies, occasion).

  5. Step 5

    «Η κράτηση επιβεβαιώθηκε!» (booking confirmed)

With day, time and party size, and the line to call for changes or cancellation. The guest cannot change or cancel online on their own.

Which times the page offers

  • Within the day's hours, with special days overriding the weekly schedule.
  • Every 15 or 30 minutes, as set by “Online time slots” under Settings → “Booking rules”.
  • Last arrival 90 minutes before closing.
  • For today, no earlier than “Last online booking” allows (default “1 hour before”).
  • The duration comes from the rules per party size, as in the console.
  • Table: the smallest free one that fits the party. The guest never sees table names or other bookings.

The booking enters the console as confirmed with source “Website”, a table already assigned and the guest's comments in the notes. If the phone number exists in the guest book, it links to that record.

Chapter 12

Ordering from the table QR code

One permanent QR code per table, the menu on the guest's phone in Greek or English, and rounds that gather into one bill.

Setup

  1. Step 1

    Build the menu

Chapter “Menu”: categories, items, prices, allergens, stations.

  2. Step 2

Settings → “QR ordering” and “Kitchen & pass”

In “QR ordering”, make sure “Accept QR orders” is on and, under “Table session”, set the “Automatic table close-out” (default 4 idle hours) and, if you like, the “Review link” offered to the guest after service. In “Kitchen & pass”, set the “Prep stations” (e.g. kitchen, bar, grill).

  3. Step 3

    “Print all”

One sheet with the QR code of every active table: restaurant name, area, table and the line inviting guests to scan for the menu. Print it, or send the file to be engraved on a wooden stand.

  4. Step 4

Put the QR code on the right table

A table's link never changes on its own. You can check it with “Open table page” before printing.

  5. Step 5

Open “Kitchen” and “Pass” on a tablet or screen

    Chapter “Kitchen and Pass”.

What the guest sees

  • The restaurant's name, their area and table, the day's hours, and the “EL / EN” switch. The page opens in Greek; this guide quotes the labels the guest sees in English.
  • Two buttons: “Waiter” and “Bill”. The pass is notified with a sound.
  • The menu by category, with the price and allergens of every dish. A dish that ran out shows as unavailable.
  • The cart: quantity per item, a comment for the kitchen (e.g. no onion), optionally their name and a general comment. “Send to the kitchen” sends the round.
  • The “Your bill” tab: every round with its status (sent to the kitchen, being prepared, ready, served) and the table total. It updates by itself as the kitchen moves the ticket along.

Outside opening hours the guest can read the menu but not order; the page says the restaurant is closed at the moment.

The table visit

The first order opens the table's “visit”: the party's shared bill. Every later send, from whichever phone, is the next round (round 1, 2, 3) on the same bill. If the table has a booking at that time, the visit takes the booking's name and party size, and the kitchen sees them on the ticket. The visit is closed from the pass with “Close”, or by itself after the automatic close-out.

Chapter 13

Kitchen and Pass

Two screens from the same feed: “Kitchen” with the ticket queue per station, “Pass” with ready plates, calls and bills. Sound, target time, undo and recall.

Open “Kitchen” on a tablet or screen in the kitchen and “Pass” at the pass or the till, and leave them open: they keep a live connection, need no refresh, and the screen does not sleep. Top right you see “Live” or “Reconnecting…”. In a small place with one screen, “Kitchen” also shows the ready plates in a narrow rail.

The control bar

  • “Station”: “All” or one station. The grill sees only its own items; items with no station go to the first in the list. The choice is remembered on the device.
  • Sound: two beeps on every new order, three on a waiter or bill call. The speaker icon mutes it.
  • Theme and size: the sun switches to a light theme for a brightly lit kitchen, the “A” buttons change the text size, the square opens the pass in full screen. All remembered per device.
  • Guest calls: above the queue, “{table} asks for a waiter” or “{table} asks for the bill”, with the “Got it” button.

The kitchen queue

Above the queue, the “All day” strip totals what is pending per item for the station: «7× Μπριζόλα» (steak) to grill together, without counting tickets. If you have given items “Prep minutes” in the Menu, every ticket gets a target time (its slowest item) and shows “target 12′ · 9′ left” or “target 12′ · +4′” when late; the queue puts the smallest margin first, not simply the oldest.

Tickets sit in one queue, like any kitchen display. Each ticket is one table: rounds from the same party appear together. A new ticket arrives with a sound and flashes briefly. Every item line is tapped like a checkbox; the first tick moves the ticket into preparation and when all items are ticked, the ticket leaves the queue for “Ready”. The big button does the same for the whole ticket (“Start”, then “Ready”), and on a touch screen so does swiping the ticket to the right. The ✕ cancels the round, the arrow sends it back. The guest's comments show in yellow.

Every tap has an “Undo” for a few seconds at the bottom of the screen, so a wrong tap with wet hands needs no searching. If the Wi-Fi drops, taps are not lost: they stay on screen, the control bar says “N actions waiting for connection” and they are sent as soon as the network is back.

Two kinds of waiting: when Settings → “Kitchen & pass” has “Table batching”, a round with food waits a few minutes before it fires, so it joins whatever the rest of the party orders from their phones (drinks fire at once). And when the waiter sends “Mains” or “Desserts” from the PDA, the round stays held until “Fire” from the Pass. In both cases the Kitchen does not see the ticket before it fires, and the sound plays at the moment of firing.

  • neutralA ticket that just came in.
  • yellowWaiting (default: from 5 min).
  • redLate (from 10 min); at critical (from 15 min) the header fills red. Thresholds change in Settings → “Kitchen & pass” → “Pass times”. With a target time: yellow 2 min before the target, red once it passes.

The Pass: “Ready” and “Fulfilled”

The “Pass” page is the floor's job: ready plates in a grid, the one waiting longest at the pass first (“waiting 3′”), “Served” when it leaves for the table (the guest sees it on their phone), table calls, held courses with the “Fire” button when the table is ready for the next plate, and the active tables open. The “Fulfilled” tray keeps the served and cancelled tickets of the last few minutes (set with “Keep fulfilled tickets in the recall tray for” under Settings → “Kitchen & pass”) with one-tap “Recall”, or all of today's. Below the active tables, the tables under “Closed today” reopen with one tap (closed by mistake, the party ordered again), unless a new party is already seated. “Today's history” shows live who did what from Kitchen, Pass, PDA and QR, with a filter and undo where possible. The time of every step is recorded and shows up in the “Kitchen times” report.

Active tables and closing

The “Active tables” section (collapsed by default, below the queue) shows every table with an open bill: party name or “No booking”, party size, rounds, total, and whatever has been paid from the phone. “Close” ends the visit; it is not allowed while rounds are still being prepared. Close the table after it has paid: after closing, the guest no longer sees the bill on their phone.

Chapter 14

The waiter's PDA

Order taking from the phone: the table grid, the party's rounds, a new order with preset options, “Served” and closing.

“PDA” is the same order taking as the guest's QR, from the staff side: open it on your phone (or add it to the home screen as an app) and take orders at the table. They go on the party's same bill and reach the Kitchen as a ticket marked “PDA”.

The tables

  • freeNo open bill.
  • openA bill is running, nothing in the kitchen.
  • in the kitchenSome round is being prepared.
  • ready!A plate is waiting at the pass — the phone vibrates and the table flashes.

New order

  1. Step 1

    Tap the table

You see the visit's rounds with their status and the total. “New order” opens the menu.

  2. Step 2

    Add items

Categories in a strip, accent-insensitive search. Every tap on an item adds one; “86” items cannot be tapped.

  3. Step 3

    Options, seat, course, note

Tap the line in the basket: the item's “Preset options” (from the Menu) are chips — «καλοψημένη» (well done), «χωρίς κρεμμύδι» (no onion) — that become a note for the kitchen, no typing. Optionally a seat (who it goes to), a course (Now, Starters, Mains, Desserts — mains and desserts go as their own round and stay held until “Fire”) and a free note.

  4. Step 4

    “Send to kitchen”

The round goes to the Kitchen at once and appears on the table. A note for the whole order goes under the basket.

Serving and closing

When a round becomes ready, the phone vibrates and the table shows “Served” — tap it as you set the plates down, the guest sees it on their phone. The bell at the top right of the tables turns on notifications that arrive even when the PDA is in the background (“Ready: t7”, in that phone's language), if the installation has set them up. A held course (mains, desserts) fires from the table with “Fire to kitchen”. “Close bill” ends the visit when the party leaves; it is not allowed while rounds are still in the kitchen. Opening a free table that was closed today shows the closed account (rounds, total, what was paid) with “Reopen” — for a wrong close or a party that ordered again. “Table history” at the bottom shows who did what in this visit, with undo where possible.

Chapter 15

Pay at the table and receipts

The guest pays all or part of the bill from the same QR code, with an optional tip. The money goes to your own provider.

Pay-at-table is optional and is switched on under Settings → “Payments”. The money never passes through table2book: it is charged by the payment provider you have a contract with and goes to the business's own account.

Settings

  • “Pay button on the table page”: shows the “Pay” button on the table page when there is a balance.
  • “Tips”: on or off, and the suggested tip percentages (default 5 and 10). The guest never sees a preselected tip.
  • “Card charging”: “Sandbox” to try the flow with no charge, or “Viva.com” with the keys of your contract.
  • “Receipt issuing — e-invoicing provider (ΥΠΑΗΕΣ)”: “No provider” (the receipt comes from your till), “Sandbox” or “Viva Fiscal”.

What the guest does

  1. Step 1

Taps “Pay · {balance}” on the “Your bill” tab

  2. Step 2

Chooses “Everything outstanding” or “Part of the bill”

For the second, they type their amount. That is how a party splits the bill without keeping a waiter busy.

  3. Step 3

    Tip

“None”, a percentage, “Round up” or “Other (€)”.

  4. Step 4

Is taken to the provider's secure page

Card, Apple Pay or Google Pay. They return to the table with a thank-you message.

The amount is always recalculated by the console, never by the phone. At the pass, the active table shows “paid”, “balance” and “tip” as soon as the provider confirms the payment.

The receipt

  • Issued by the certified e-invoicing provider you set, for the bill amount only. The tip stays off the receipt.
  • Full payment: the receipt carries the dishes with the VAT rate each has in the menu. Partial payment: one line, «Κατανάλωση» (consumption), at the bill's dominant rate.
  • With no provider, you issue the receipt from the till, as always. The guest reads on their phone that the receipt is issued by the restaurant.

Refunds are made from your provider's portal; the console updates the table's balance when the provider reports it.

Chapter 16

Reports

Seven reports per period: bookings, guests, opening hours, tables, payments and tips, kitchen times, activity history.

Every report has a period selector: “Last 30 days” (the default), “Last 90 days”, “Next 30 days” or “Custom range…” with from and to. Totals count only confirmed, seated and finished bookings.

ReportWhat it shows
“Bookings”Total bookings and covers, average party size, no-show rate, bookings per day, by status and by source (phone, website, walk-in).
“Guests”Guest book size, new in the period, returning guests, and the top 10 by visits.
“Opening hours”Open days and hours per week, closed days in the period, the weekly schedule, bookings per weekday, special days.
“Tables”Occupancy (booked minutes over open minutes), most popular table, bookings without a table, and a breakdown per table.
“Payments & tips”Pay-at-table takings, tips separately, payments per day and how many receipts were issued. Managers and owners only.
“Kitchen times”Average time from order to “ready” and from “ready” to served, share of late tickets, per day and per station. Only tickets that went through Kitchen and Pass count.
“Activity history”Who did what and when in ordering: every item and round bump from the Kitchen (with the device's station, e.g. Bar), “Served” and “Fire” from the Pass or the PDA, cancellations, guest orders and calls from the QR page, table accounts opened and closed. Per day, newest first, with a screen filter and search by table, user or item. Where the action is still the current state there is an undo button: restore a cancelled round, back to “Ready” for a served one, undo an item bump, reopen a table closed today, cancel a new order. The same history shows live on the Pass (“Today's history”), in the Kitchen and on every table screen of the PDA.

Table occupancy counts only days that have passed and leaves out closed days. A booking on two tables counts on both. For the accountant, bookings and the guest book download as CSV from Settings → “Data & privacy” (paid plans).

Chapter 17

Settings & add-ons

Four groups of sections, restaurant, bookings, service and account: hours and holidays, tables, booking rules, notifications, QR, kitchen, payments, plan, team, data.

Settings open for managers and owners. On the left is the list of sections in four groups: “Restaurant”, “Bookings”, “Service” and “Account”. On a phone the same list opens from a drop-down at the top. “Search settings…” also matches words that are not in a title: “Easter” finds “Hours & holidays”, “CSV” finds “Data & privacy”, “Stripe” finds “Plan & billing”.

How changes are saved

  • Switches (e.g. “Accept online bookings”, “Tips”) save as soon as you flip them and briefly show a confirmation.
  • In text and number fields, a bar appears at the bottom: “You have unsaved changes”. “Save” keeps them, “Discard” returns the fields to their saved values.
  • If you go to another page or close the browser tab with unsaved changes, the console asks before you leave.

“Restaurant details”

Restaurant name, time zone, phone, business e-mail, website and address. They appear on the booking page and in the e-mails to guests; the business e-mail receives the guests' replies and the new-booking notifications.

“Hours & holidays”

  • “Weekly hours”: one row per day, with an “Open” / “Closed” switch and opening–closing times in 15-minute steps. The whole week is saved together from the bar.
  • If the open days have different hours, the button “Apply 12:00–23:00 to all open days” (with the first open day's hours) makes them the same in one click.
  • Each day has one interval. For lunch and dinner, set opening at noon and closing at night; the booking page offers times across the whole interval.
  • “Holidays & special days”: exceptions with a date, “Closed” or different hours, and a note (e.g. 15 August). They override the weekly schedule. One entry per date: a new one replaces the old. Dates that have passed are not shown in the list.

“Areas & tables”

  • “Areas”: dining room, terrace, balcony. Their order here is the order of the tabs on the floor plan. An area with tables cannot be deleted; move its tables first.
  • “+ New table”: name (e.g. t7), area, “Min seats” and “Max seats”, shape (rectangle or round). The seats decide which parties it is offered to.
  • The “Active” switch takes a table out of service temporarily (the terrace in winter) without deleting it.
  • Its place in the room is set on the floor plan: the “Floor plan layout” button takes you there, then “Edit layout”.

“Booking rules”

SettingWhat it doesDefault
“Seating duration”How long a booking holds a table when no party-size rule matches.2 hours
“Table reset time”Buffer between two bookings on the same table, for resetting.None
“Maximum party size”The limit of the party-size picker in the console and on the booking page.12
“Last online booking”How long before the time online booking closes for today.1 hour before
“Online time slots”Every 15 or 30 minutes for the times the guest sees.Every 15 min
“Duration by party size”Rules “Up to N guests → duration”, added with “New rule”: e.g. up to 3 guests → 2 hours, up to 8 → 3 hours.None

Saving the rules also ticks the “Confirm booking settings” step on the starter checklist. If the defaults already suit your service, press “They are correct” in the notice at the top of the section; the notice goes away once confirmed.

“Link & widget”

The “Accept online bookings” switch, the “Public link” and the “Widget for your website” (an iframe snippet). Details in the chapter “The restaurant's booking page”.

“Notifications”

The “Confirmation email to the guest” is sent automatically for every booking that has an e-mail address — from the booking page, the console or the phone. In “Message text” you write your own wording; the buttons “date”, “time”, “guests” and “restaurant” below it insert the fields {date}, {time}, {party} and {restaurant} at the cursor. The “Preview” next to it shows the message as the guest will see it in their inbox, with sender and subject. Guests receive this e-mail in Greek, whatever language the console is in. Below the text the date, time, party, and the restaurant's phone and address are always included; if the guest replies, the message goes to the business e-mail from “Restaurant details”.

Under “Notify the business”, the “Email for every new booking” switch sends a new-booking e-mail with all details to the business e-mail for every booking from the booking page or the phone assistant (not for those staff enter). Below it, “Language of emails to the business” sets whether that e-mail arrives in Greek or English; the change is saved at once. The “SMS” card is marked “Soon”: SMS is not sent yet, but you can reserve the “Sender name” (up to 11 Latin characters or digits) now.

“QR ordering”, “Kitchen & pass”, “Payments”

“QR ordering” holds the “Accept QR orders” switch, the “Table session” (automatic close after hours of inactivity, review link) and the QR code of every table, with “Print all” and “New QR”, which asks for confirmation. “Kitchen & pass” holds the “Prep stations”, the “Pass times” that change the colour of tickets, and “Table batching”. More in the chapters “Ordering from the table QR code” and “Kitchen and Pass”. “Payments” holds pay-at-table, tips and providers (chapter “Pay at the table and receipts”); “Booking deposits” is marked “In development” and the booking page does not ask for a deposit yet.

“Plan & billing”, “Team & access”, “Integrations”, “Data & privacy”

“Plan & billing” holds the subscription, the month's bookings and the add-ons, such as the phone assistant (chapters “Plans, billing and the booking limit” and “Phone booking assistant”). “Team & access” holds members, roles and invitations (chapter “Team and roles”). “Integrations” has the “Voice assistant (AI)” card, with the assistant's status and a link to its own section, along with the cards that are coming: Google Calendar, Facebook / Instagram bookings, API. “Data & privacy” holds the CSV export of bookings and guests and data retention (chapter “Your data: export and GDPR”).

Chapter 18

Phone booking assistant

A voice assistant that answers the phone or speaks from the booking page, checks availability and books a table by your rules.

The phone assistant is a paid add-on on top of a paid plan, in two sizes: “Assistant 300” (€59 a month, or €47 billed yearly, 300 minutes of calls a month, then €0.20 a minute) and “Assistant 800” (€139 or €111 billed yearly, 800 minutes, then €0.18 a minute). Monthly billing adds a €99 one-off setup, yearly does not. You see the minutes in “Plan & billing” as a bar, and extra minutes are invoiced separately at the end of the month. It answers in Greek: «Καλησπέρα, {restaurant}, μιλάτε με ψηφιακό βοηθό και η κλήση ηχογραφείται. Πώς μπορώ να βοηθήσω;» (good evening, you are speaking with a digital assistant and the call is recorded; how can I help?). With your own greeting, it first says «Μιλάτε με ψηφιακό βοηθό και η κλήση ηχογραφείται.» and then yours. It works on a phone number or as a talk button on the public booking page.

What it can do

  • Check available times for a day and a party, with the same rules as the booking page.
  • Book a table: it enters the console as confirmed, with source “Phone” or “Website”, depending on where the guest spoke from.
  • Tell the day's hours and what is on the menu with prices (available items only).

What it does not do

  • It does not take food orders over the phone.
  • It does not cancel or change bookings; it tells the guest to call the restaurant.
  • It does not book when the “Accept online bookings” switch is off or when the plan's monthly limit has been reached.

Switching it on

  1. Step 1

    A paid plan

On Free, the card says it is available as an add-on on paid plans.

  2. Step 2

    Settings → “Plan & billing” → “Add-ons” → “Activate”

Your subscription's card is charged, with no new payment form. Billing follows your plan's interval (monthly or yearly). Cancel from “Manage subscription”; it stays on until the end of the period.

  3. Step 3

    The assistant sets itself up

Within a few minutes your own assistant is created, with your restaurant's name, and the «Μιλήστε με τον βοηθό» (talk to the assistant) button appears on the booking page.

  4. Step 4

    Settings → “Voice assistant”

Pick a voice (with a preview), write the greeting and whatever guests often ask (parking, pets, cancellation policy), and press “Save” — the assistant updates immediately. “Test call” lets you talk to it like a guest; bookings made in the test are real.

  5. Step 5

    Connecting your phone

Press “Request a number” on the same page and we connect a number for the assistant. You keep your number and forward calls “on busy or no answer” to it — the codes appear there once it is connected. The forwarded leg is billed by your phone provider under your plan.

Chapter 19

If you press something your role does not allow, the console returns you to the overview page or answers “Manager rights required”.

Inviting a colleague

  1. Step 1

    Settings → “Team & access”

    The restaurant's team management opens.

  2. Step 2

Invite by e-mail, with a role

The colleague receives an e-mail, sets a password and enters the same console.

  3. Step 3

    Change role or remove

From the same screen, whenever needed. You change your own password there too.

Chapter 20

Plans, billing and the booking limit

Four plans that differ in the monthly booking limit, a 7-day trial, and how to change or cancel from “Manage subscription”.

PlanBookings a monthMonthlyYearly (per month)
“Free”25€0—
“Basic”350€45€36
“Plus”750€85€68
“Unlimited”No limit€125€100

Prices exclude VAT. Yearly billing is one payment a year, 20% cheaper. On monthly billing, the first three months cost half. The three paid plans unlock the same things: QR ordering and the kitchen console, a team with roles, CSV export. They differ only in the limit. The phone assistant is a separate add-on on any paid plan (see the chapter “Phone booking assistant”).

How the limit counts

  • Bookings created within the calendar month count, from any source (console, walk-in, booking page, assistant), regardless of the date of the table.
  • On the 1st of the month the counter resets. On Free you see “{N} of 25 this month” in “Plan & billing”.
  • At the limit, the console answers that you have reached your plan's limit and the booking page tells the guest to call. Edits and status changes continue as normal.

Buying a plan

  1. Step 1

Settings → “Plan & billing” (or the pricing page)

Choose “Monthly” or “Yearly” and press “Start on Basic / Plus / Unlimited”. Only the owner can.

  2. Step 2

    Secure payment page (Stripe)

You enter a card. The trial lasts 7 days and the first charge comes at its end; cancelling before then costs nothing.

  3. Step 3

    Back on the overview page

With the message that the subscription is active and the trial's end date. The confirmation e-mail comes from Stripe.

Change, card, cancellation

Everything from the “Manage subscription” button in “Plan & billing”: change plan or interval (during the trial, the trial continues), change card, invoices, cancel. Cancellation takes effect at the end of the period you have paid for; the account then returns to Free, with your data intact.

  • TrialThe 7 trial days. Everything unlocked.
  • ActiveThe subscription is paid as normal.
  • Past dueThe charge failed and is being retried. You keep access; update the card.
  • CancelledThe subscription has ended. Free applies.

Chapter 21

Your data: export and GDPR

Bookings and guest book as CSV whenever you want, on EU infrastructure. What is kept, for how long, and how you leave.

  1. Step 1

    Settings → “Data & privacy”

The “Data export” card. Typing “CSV” into “Search settings…” also finds it.

  2. Step 2

    “Bookings (CSV)”

All bookings with date, times, name, phone, party size, status, source, tables and notes. Opens correctly with Greek text in Excel, Numbers and Google Sheets.

  3. Step 3

    “Guests (CSV)”

The guest book: name, phone, e-mail, company, address, notes, sign-up date.

  • Data is hosted on EU infrastructure and is yours. The guests at your tables are not a platform's leads.
  • Bookings and guest details are kept while the account is active, so that history and reports work.
  • A guest who asks to be deleted is removed from their record (“Delete guest”); this deletes the record, and we delete the details in their bookings if you ask us to.
  • For full deletion of the account and its data, write to support. It cannot be undone, so download the CSV files first.

Chapter 22

Common problems and what to check

The questions that come up in the first weeks, with the setting that usually solves them.

What you seeWhat to check
The booking page shows no times at all.Settings → “Hours & holidays”: is the day open, with no holiday on that date? In “Areas & tables”: are there active tables that fit the party (min and max seats)? For today, has the “Last online booking” limit passed? The last time offered is 90 minutes before closing.
A table is not offered for a booking. The party is outside the table's seats, the table is inactive, or another booking holds it, buffer included.
“You have reached your plan's limit”.Settings → “Plan & billing”: the monthly limit is used up. Change plan or wait for the 1st of the month.
The guest scans the QR code and reads that ordering is unavailable. It needs a paid plan, “Accept QR orders” on, a time within opening hours, and a menu with available items.
I press Settings and land back on the overview page.Your role is staff. Ask the owner for the manager role, from the “Team & access” section.
“Kitchen”, “Pass” or “PDA” asks for a paid plan. The kitchen console opens with Basic, Plus or Unlimited, with a 7-day trial.
The payment page says sandbox provider.Under Settings → “Payments” the sandbox is selected, or the provider's keys are missing from the server. No real charge is made.
I cannot close a table at the pass.It has rounds in New or In progress. Serve or cancel them first.
An area cannot be deleted. It has tables. Move them to another area from each table's “Edit”.
A booking from the website did not show up at once. The console updates on every page load. On the schedule or the floor plan with “Live” on, data refreshes every 30 seconds.
I want to see the day's cancellations and no-shows.List → status filter “All”, or “Cancelled” / “No-show” on their own. They are not drawn on the schedule.

For anything this page does not solve, write to support. The overview page has the “E-mail support@table2book.gr” button.

Set up your tables before next Saturday.

Opening hours, tables and a booking link for your Instagram, with the starter checklist taking you through each step. Or open the demo first, where an evening is already full of bookings.
